The Atlantic Film Festival is currently accepting applications for a number of contract positions for the 33rd Atlantic Film Festival. To be eligible, you must qualify for the Job Creation Partnership program (link http://novascotia.ca/employmentnovascotia/programs/job-creation-partnerships.asp). (See below for further details)

 
Individuals, who are outgoing, excel at attention to detail, work well in a team environment, and have a passion for event management/film/music, will be ideal candidates for the following positions:
 
Positions will start in early June for approximately 23 weeks.
 

Travel & Housing Coordinator
The Travel & Housing Coordinator oversees travel and housing arrangements for all festival guests ensuring a positive and productive festival experience. The coordinator will: ensure all aspect of guest travel & housing are handled including management of travel arrangements for festival guests and delegates; report regular budget updates to appropriate departments; manage relationships with hotel and travel agency partners, ensuring all bookings are accurate and timely; deliver information to guests and delegates in a timely manner; manage all travel & housing information; work with closely with Transportation and Registration Coordinators to ensure all guest and delegate needs are handled; prepare reports as required; and develop a process manual for the position.
 
Ground Transport & Hospitality Coordinator.
The Ground Transport & Hospitality Coordinator is responsible for all ground transportation requirements for festival delegates and guests. This includes: working with Travel & Housing Coordinator and various departments to schedule and coordinate airport transfers and local ground transport; schedule and training volunteers and staff; working with vehicle partner to book and manage vehicle rentals; provide delegate and guest hospitality; manage budgets; prepare written reports as required; and update process manual for the position.
 
Industry Registration Coordinator
The Industry Registration Coordinator promotes and coordinates the Film Festival’s Registration. The coordinator will: work with delegates, sponsors, filmmakers, media and guests to coordinate accreditation; work with box office to ensure all ticket requests are delivered and tracked in a timely manner; manage all aspects of the registration process in advance and during the festival including, database management, sales tracking and reporting and supervision and training of volunteers; work with the marketing department to: develop & execute registration marketing plan; make website updates; prepare and deliver communications with registrants and manage post-event assist with the development and collection of post-festival delegate survey; prepare final reports as required; and update process manual for the position.
 
Volunteer Coordinator (2 positions)
The Volunteer Coordinator is responsible for the development and implementation of the volunteer program for the 33rdAtlantic Film Festival. This includes 1) Conducting a volunteer needs assessment with all festival departments; 2) recruiting, advertising for and selecting volunteers; 3) developing an electronic database of volunteers working with Events NS Volunteer Tool; 4) Developing information and best conduct manuals for both staff and volunteers; 5) organizing volunteer orientations and training sessions 6) Scheduling volunteers into shifts for festival activities. 7) Overseeing the care and comfort and Festival engagement of volunteers during festival. 8) Organizing a volunteer appreciation wrap party. Volunteers play a key role in the production and operations of the Atlantic Film Festival, with each year bringing commitments from nearly 200 volunteers.
 
Production Assistant
The Production Assistant is responsible to assist the Production Manager to plan and execute the logistics of the 33rd Atlantic Film Festival as well as the Outdoor Film Festival. The Assistant will: assist in the delivery of conference management, logistics, and audio-visual production; assist with general IT requirements as it relates to conference and contract support; work with Manager to control & track expenses; assist in negotiations with suppliers and contractors and help manage partnership relations; assist with volunteer training and supervision; assist in the coordination of design and print conference materials; prepare reports as required; and develop a process manual for the position. The participant will have the opportunity to develop skills associated with working on large-scale events, with focus on conference logistics and management.
 
Operations Assistant
The Operations Assistant will report to the Office Coordinator and will provide support to each department through the film festival’s series of events: Outdoor Film Experience, the 33rd Atlantic Film Festival and ViewFinders Festival in a Van. Responsibilities include screening calls; assisting with meetings and meeting arrangements; assisting with maintaining production supplies; research assistance; Under the guidance of the Risk Management Committee develop an Emergency Policies & Procedures Manual; running errands; helping with film submissions and festival print traffic; assisting with niche marketing and social media activities; travel and housing bookings; providing event support as needed; prepare reports as required and develop a process manual for the position. This is a great opportunity for someone to get diverse, behind-the scenes event management experience from the lead-up, delivery and wrap of these festival events.
 
Strategic Partners Assistant
The Strategic Partners Assistant responsibilities include assisting the Strategic Partners Team to develop and organize the Strategic Partners Conference taking place September 12-15, 2013. Strategic Partners (SP) is one of the world’s pre-eminent co-production markets, focusing on feature film, TV fiction and multiplatform early stage projects from around the world and across Canada. SP brings international delegates together with Canada’s top industry players for one-stop shopping at this intimate and effective world-class co production market that hosts op industry players. Over 3 days SP offers a full schedule of 1-2-1 meetings, international broadcaster, country and provincial sessions, relevant & practical panels and relaxed receptions.
 
Special Events Coordinator
The Special Events Coordinator position provides the participant with extensive event management experience & skills development. As one of the top event producers in the Atlantic Canada region, the participant will work on large-scale events such as the Opening Night Gala with over 2000 people in attendance, as well as more than 10-15 smaller parties & receptions over 8 days. Additionally, a key component of this experience is to deliver a diverse program for the main festival headquarters (Festival Lounge). This involves bringing all the key pieces of event management together – Logistics; Financial management; Marketing & Promotion & program development. The participant will gain experience in several areas that can applied to those interested in event management, tourism & hospitality, public relations and marketing, to name a few. The Special Events Coordinator reports to the Director Of Operations to assist in the coordination of the 33rd Atlantic Film Festival Special Events including programming and managing the Festival Lounge. The Festival Lounge is the main gathering place for industry and public for conversations and panel discussions, showcases of films and music, sponsored receptions and networking. The Coordinator will gain professional experience in event management, learning essential meeting & event planning skills, including: Venue research and bookings; Manage venue operations (Audio/visual, webcasting; lighting, security; front of house; room set-up, capacity management and food & beverage); assist in the production of décor & supplies; Research, program and schedule speaker & entertainment activities; Assist in negotiations with suppliers; Manage costs and event budgets; Assist in signage production and coordination; Assist marketing department with sponsorship fulfillment; Coordinating prepare reports as required; develop a process manual for the position; Develop a communications plan, and market and promote the Festival Lounge activities through social media channels; Create & deliver survey to analyze the success of the event; Prepare reports with recommendations; Develop a process manual for the position.
 
Marketing & Communications Assistant
The Marketing & Communications Assistant plays a key role in the overall success of the Atlantic Film Festival and family of programs. The Marketing & Communications Assistant will support the Atlantic Film Festival’s strategic communications plan, including Public Relations, Online/Offline Communications and Marketing support as needed. Duties include: daily media/social media monitoring/reporting/engaging; promoting contesting/sponsorship initiatives; preparing press kits and films for media use; coordinating media centre, photographers and videographers; assisting with interview requirements; supporting the Sr. Marketing Manager and Publicist; maintaining social media channels; employing email solution (Mail Chimp) for regular electronic messaging; operating the website CMS (Content Management System) to update the website with press releases and other website updates; uploading and filing of photos/videos on public drive and to respective social media channels; collecting audience feedback via digital survey software (Survey Monkey).
 
Sponsorship & Sales Assistant
The Sponsorship & Sales Assistant will work with the Industry Partnership Manager and Sales & Sponsorship Manager to support the Sponsorship department through the research and development of collateral sales targets related promotional opportunities at the 33rd Atlantic Film Festival. The Sales Assistant will facilitate internal communication amongst AFF departments related to collateral sales developments, will track and activate partnership benefits (advertising, signage, trailers, etc.), and will use design templates to develop contracts and sales documents. The design and maintenance of spreadsheets and tracking documents will be an important role for this position. This position will also be responsible for ensure execution of contracts relating to the 33rd Atlantic Film Festival promotional pieces (Program Guide, Molson Guide, in-theatre trailers), and sponsor registration during the 33rd Atlantic Film Festival. The Sales Assistant will also work cross-functionally with the AFF Marketing department, Registration Coordinator and Operations. After the events, the Partnership Assistant will assist in the preparation of visibility and follow-up reports for partners and sponsors. A final report outlining successes and challenges must also be submitted to the Sponsorship Department before completion on this contract.
 
Festival Awards & Programming Assistant
The Festival Awards & Programming Assistant is a key festival position responsible for the awards initiatives across all events within AFF, and supports the entire Programming Department to deliver and build the 33rd Atlantic Film Festival film program.  Duties include:  evaluate awards roster including, which awards are given and when; coordinate with sponsors all aspects of awards value and activation which includes, contract administration; act as key coordinator around jury facilitation and execution, including coordinating travel & housing, jury schedule and hospitality; coordinate awards ceremonies/events; assist with film research and data input, organize all materials for selection screenings, and manage revenues from submissions; coordinate correspondence with filmmakers to collect materials for Festival program guide including photos, credits and write-ups from the programmers; supplying info for ticketing and the online program.
 
Industry Programs Assistant
The Industry Programs Assistant supports the delivery of key industry conference events including Music & Image, Script Development program and Industry Day. Duties include: Conduct research for potential panelists, buyers and participants; Work with Travel & Housing to coordinate guest travel; Collect bios, photos, promo materials from buyers, panelists, showcasing artists and participants; Prepare detailed itineraries, welcome packages and materials for Panelists & guests; Assist in the coordination of all logistical requirements including food, beverage, venue set-up, technical and transportation needs; Work with Volunteers to provide training and supervision; Assist with marketing and social media strategies; Work with Management and Marketing & Communications on the development, delivery and recording of delegate surveys; Collect post-event data and assist in the preparation of final reports.
